Administrative Specialist
This position is a “specialist” in terms of our position types, but would be aptly called an administrative generalist as well. During the course of our operations and meetings we have need to receive paperwork, payments, and other items. We disburse merchandise and advancements. We take signups, follow-up with people, and connect parents to leaders with specialized knowledge.
An Administrative Specialist must be organized and gifted in administration, but should also be able in the area of hospitality as they interact with parents. There are opportunities to jointly serve with Shepherd’s Girls as well in this role. This is an ideal opportunity for someone who sees themselves serving with our membership, finance, or equipment teams in the future.
Qualifications
- Christian age 21 or older
- Registered Adult (or eligible to be registered)
- Agree to the Shepherd's Church Volunteer Covenant and qualified for service
Core Duties
- Receive guests and parents at the desks associated with our meetings.
- Receive and disburse items to parents, guests, and leaders as needed by the ministry.
- Direct persons to troop leaders knowledgable on particular matters, including providing contact information as needed.
- Assist with organizational systems for the troop's records and physical property.
Additional Responsibilities
- Maintain awareness of the troop's activities and leadership so that contextually sensitive assistance can be provided to guests and parents.
- Complete Peak 1 and Peak 2 trainings during first year of service.
Timing of Duties
- During the meeting time is a key time of service for the Administrative Specialist. This might be every meeting, or it might be on an agreed schedule. Typically, the Administrative Specialist will spend some amount of time at the CC200 desk, and may miss events such as the opening ceremony as a result.
- Most out-of-meeting administrative tasks are handled by the chairs and specialists involved with the particular initiatives. However, Administrative Specialists should have sufficient time outside of meeting to maintain familiar with troop activities, and to confer with committee volunteers.
- There are no administrative duties associated with campouts and events, although all volunteers are welcome to attend these events for perspective.
